CREATING CTF FILE FOR ULN’S (Unique Learner Numbers)

The Learning Records Service (previously MIAP) receives all schools Census files from DfE, they clean this up and then issue ULN's to students. Schools then have to request this information from LRS and/or S2S website.
Schools are required to register with the LRS, who are the Government body overseeing the issue of ULN’s, in order to receive ULN’s for each student.


Once schools have registered, a CTF file should be created within SIMS .net and uploaded to the S2S Website. The S2S site will then produce a CTF file to download and import into SIMS .net which will contain students ULN’s. This populates both the ULN area in sims.net and also the candidate area in Exam Organiser. If there are students that do not match the CTF information, schools will then have to logon to LRS and give more detailed information of the student.


To create a CTF File for S2S website

Select ULN Request as the File Type

Select ULN Request as the File Type

1. Select Routines | Data Out | CTF | Export CTF

2. Select ULN request as the file type

 

3. Put tick in Include students already exported
4. Click Refresh Students
5. Choose a particular year group by clicking on the down arrow on the right of Year
6. Highlight the first student in the list, scroll to the bottom of the list, hold ctrl + Shift keys on your keypad and click on the last student in the list
7. Click in the Destination LA on the last row which will bring a down arrow within the cell.
8. Select your own LA from the list

9. Click Export CTF
10. A CTF File has now been created. Make a note of the file name and upload this file to the S2S website.
11. S2S will then email a notice to you asking you to return to the site and download the new file.
13. Import this file into SIMS .net in the normal way – Routines | data in | CTF.
14. Check Number of pupils in file and Number of pupils processed correspond. If they do not correspond then check the Exception Log and make a note of the students
15. If there are students that S2S have not been able to allocate you will then have to log-on to LRS website and give more detailed information on these particular students.
