Replace an out of date QAN association

  1. Download the latest QAN file from the DfEs QAN web site (https://collectdata.education.gov.uk/qwsweb)

  2. Use Tools | Examinations | Import Qualification Data to import the four XML files that were downloaded from the DfEs QAN web site.

  3. Use Tools | Academic Management | Course Manager | Maintain Course | Update QANs and Discount Codes for Course Manager to select any 'new' QAN plus Discount Code combinations for use in Course Manager. Note the Expiry column on the right hand side of the tables.

  4. If you wish, you can also use Tools | Academic Management | Course Manager | Maintain Course Classifications to set any 'out of date' QANs inactive. Inactive QANs are not selectable in Maintain Course, but any that are already selected will persist (this is the normal way SIMS 7 treats inactive lookups).

  5. Run Tools | Academic Management | Course Manager | Maintain Course to select the course that has the expired QAN in use. You may find it helpful to click on the QAN Expiry column to identify QANs that have expired.

  6. Go to the Classification panel and click on the To column for the QAN that has expired (the QAN Expiry column should identify this) and enter a date for when you want the QAN disassociated with the course.

  7. Stay in the Classification panel and click on New to select the QAN to associate with the course. You can refer to the Expiry Date column on the right hand side to help with your choice.

  8. When you return to the Classification panel the QAN records will be highlighted in yellow to indicate that the QAN associations overlap. Enter a From date for the new association (a day after the previous QANs To date is a good choice) and then save. The yellow highlight will be removed to indicate that the QAN associations no longer overlap.
